Across podcast campaigns in Q1 2026, 9.74% of listeners who visited an advertiser site became leads.
1. Does podcast advertising work for HR software?
Yes, and the measurement data now shows how well. In Magellan AI's Q1 2026 measurement report, covering campaigns across categories, 2.29% of reached listeners visited an advertiser site within 30 days. Of those visitors, 9.74% became leads, which is the outcome a B2B software brand actually wants.
Brands right next door to HR software are also spending more. Magellan AI's Q1 2025 benchmark found podcast ad spend in the recruiting category rose 72 percent. Recruiting brands sell to the same employers that HR software targets. That makes their buying a useful signal for podcast advertising for HR software.
The fit comes from how HR buyers shop. Before looking for a dedicated system, 44% of prospective buyers were managing HR with non-specialized tools, such as accounting or database software. Another 18% were using spreadsheets or paper-based methods, according to Capterra's 2026 buyer research.
In other words, most of these buyers are not comparing vendors yet. Instead, they are living with a workaround. A host who describes that workaround reaches them before any search query exists. So by the time they search for payroll software, your name already sounds familiar.
When podcast ads are a weaker fit
Podcast ads suit HR products that a small or midsize business can shortlist on its own. They also work harder when a listener can visit a page and start a trial or book a walkthrough. If every deal runs through a formal procurement process, treat podcasts as awareness and measure them across several quarters instead.
Write down the workaround your buyer uses today, in their own words. Then make it the first line of the read. Listeners recognise their own spreadsheet faster than they recognise your category name.
2. What do payroll, ATS, and HRIS buyers want?
"HR software" covers payroll software, ATS software, and full human resources suites, and one script cannot address all three. Capterra's advisors spoke with thousands of HR software buyers between January 2025 and January 2026. In 282 of those conversations that covered features, payroll management was the most requested, named by 50% of buyers.
Time and attendance tracking followed at 38%, general employee management at 34%, onboarding at 23%, and applicant tracking at 18%. That 32-point gap between payroll and applicant tracking is why a payroll ad and an ATS ad rarely overlap.
Buyer priorities also shift once the software is running. After the purchase, existing users rank employee database management as the top feature, at 38%. It now sits ahead of payroll, the feature new buyers requested most often. So an acquisition ad should lead with the purchase trigger, not the feature customers praise later.
The same research found three reasons buyers switch from spreadsheets or general-purpose accounting software to dedicated HR software. Inefficiency led at 33%, limited functionality followed at 28%, and high technology costs came in at 13%. Use them to pick the host's opening line. Budgets track the category too. Capterra puts the average HR software spend at $17 per employee per month overall. That average hides a wide range by industry, one wide enough to change what a podcast campaign can justify spending per lead.

If you want to advertise on HR podcasts, dedicated shows already exist on both sides of the payroll and recruiting split. PayTalk, published monthly by PayrollOrg, covers payroll compliance and operations for US payroll professionals. Recruiting and talent acquisition get podcasts entirely separate from payroll. Four HR, payroll, and job-search companies show three different approaches to podcast advertising. MediaRadar tracked the podcast ads of three of them in 2019, as Inside Radio reported in January 2020. Treat those numbers as a pattern rather than a current media plan.

The table leaves out the most useful detail. Indeed's placements ranged from the Stephen A. Smith Show, a sports program, to Ten Percent Happier, a meditation show. That spread points to an awareness play rather than one audience match. ZipRecruiter's list included Pod Save America and The Daily.
ZipRecruiter later launched its own show, Talent All-Stars, in 2024. By then, president David Travers said, its podcast advertising had run for close to a decade.
Paycom took the owned route instead with HR Break Room, its podcast on HR and HR technology. Paycom is not alone. The MillionPodcasts US HR podcasts list also includes HR{preneur} by ADP and HR Party of One by BerniePortal. So ADP, the concentrated buyer of 2019, now runs a show of its own too.
What the approaches mean for your budget
The three approaches map to three different budgets.
ADP, Indeed, and ZipRecruiter needed media spend and creative, and little else. They scaled that spend up or down by how many shows they wanted to reach. Paycom, by contrast, needed a recurring production schedule and a guest-booking process. Most in-house marketing teams do not have that running before their first HR software ad ever airs.
Breadth also follows the buyer, not just the budget. Indeed and ZipRecruiter sell to anyone who hires, so a news or sports audience still holds buyers. A payroll or HRIS vendor sells to a narrower group, so depth on one niche show at a time fits better. The recruiting spend growth in section 1 shows the broad model still suits job marketplaces.

Copy ADP's concentration, not its format. Produced spots suit a business news show. On a niche payroll show, however, a host who has used your product carries more weight than a polished spot.
5. When should HR software podcast ads air?
Each HR product line has its own buying calendar. An ad that airs after the decision is made waits a full cycle for its next chance.
Payroll software: air before the quarter turns
Payroll providers generally advise switching at the start of a year or quarter. That timing keeps tax filings with one provider, since forms like the federal Form 941 are filed quarterly. As a result, a buyer switching on January 1 compares vendors in the months before. Your payroll software podcast ads should air in that comparison window, not in January.
The offer should also answer the buyer's biggest real fear, which is a messy handover. A read that promises help moving year-to-date payroll data answers that fear and gives a reason to act now.
ATS software: run evergreen and offer a trial
Applicant tracking has no filing calendar. Instead, demand follows hiring plans, which vary from company to company. A steady flight with a free trial fits better here than a dated push.
HRIS software: plan for a longer comparison
An HR suite touches records, onboarding, and benefits at once, so more people join the decision. Offer a walkthrough or demo, and judge results over a quarter rather than a week. The buyer table in section 2 shows who sits in those meetings.
How to judge the first flight
Direct response arrives fast: in the same Magellan AI data, 87% of listener responses came within 30 days of the ad. So read vanity URL visits and promo codes at day 30, then read pipeline at the end of the quarter.
A payroll ad that airs in the month buyers switch arrives too late. Work back from January 1 or the next quarter start. Then air during the comparison weeks before it.
Put the cutover date in the call to action. A line like "switch before the new quarter" gives a payroll listener a reason to act this month. An undated offer lets them wait another year.
6. How to write the ad script for each HR product
In podcast advertising for HR software, a script written for a general "HR" audience wastes what a niche show offers. The three examples below use the same host-read structure across payroll, ATS, and HRIS software. They change only the pain point and the product name, and they add personal host experience where it applies.

Treat the numbers in these scripts as examples. Swap in the host's real figures before recording, because a claim the host cannot stand behind undercuts the read.

- The URL or promo code repeated. Say it once, then again at the close.
- A specific number in the pitch. Use 10 minutes or 40 open roles, not a vague line about saving time.
- The host's own voice. Invite the host to adjust the phrasing so the read sounds like them.
Tone needs to match the show as closely as the pain point matches the buyer. A formal read written for an association-published payroll show would fall flat on an irreverent recruiting show. Sending the script early, and inviting the host to adjust the phrasing, solves most of that mismatch before recording.
Ask the host to record the read once in their own words before they see your script. If their version names a different pain, trust it. After all, they hear what their listeners complain about every single week.
7. Which podcast plan fits your HR product?
If you sell payroll software, buy depth on one payroll show, and add a second only after the first flight ends. Air the flight in the weeks before a quarter or year starts, and lead with the handover fear.
If you sell ATS software, start on recruiting shows with a free trial and a steady schedule. Go broad only if your buyer is anyone who hires.
If you sell an HR suite, pick HR leadership and HR tech shows and offer a walkthrough. Then give the flight a full quarter before you judge it, since more people weigh in.
